What photographic and documentary evidence should be taken before sealing a parcel for despatch?
This question is the practical foundation of the entire Part 10 evidentiary framework. Every other chapter in Part 10 assumes that pre-posting documentation exists. Without it, you are arguing from nothing. With it, you are arguing from a documented chain of evidence that the forum cannot ignore. The six minutes you spend documenting before sealing are the best-invested six minutes in any numismatic transaction.
The six-step pre-posting protocol
Step 1 — Photograph both sides of the note. Place the note on a clean, flat, neutral-coloured surface. Take one photograph of the obverse (front), one of the reverse (back). The serial number and prefix must be clearly legible. Include a ruler in the frame for scale. This photograph establishes: what specific note was in the parcel; its condition at time of sending; and its identifying characteristics.
Step 2 — Photograph the note with its packaging before sealing. Take a photograph of the note in its toploader or protective sleeve before placing it in the inner packaging. This establishes that the note was placed in protective packaging — relevant to any courier argument about inadequate packaging.
Step 3 — Photograph the packaging stages. One photograph of the inner packaging with the note inside, before the inner packaging is closed. One photograph of the sealed inner packaging. One photograph of the sealed outer packaging before attaching the courier label.
Step 4 — Photograph the sealed parcel with the courier label attached. The tracking number must be legible. This establishes the link between the specific note (from step 1) and the specific tracking number being sent to the specific recipient.
Step 5 — Create a transaction documentation file. Compile: the photographs from steps 1-4; the purchase invoice for the note; the booking receipt after posting; the tracking screenshots. Name the folder clearly — 'BlueDart 2024-03-15 Tracking XYZ456 — [note description].' Store in cloud storage (Google Drive, iCloud, Dropbox).
Step 6 — Send a transaction confirmation to the buyer. A WhatsApp message to the buyer saying 'Parcel shipped, tracking number XYZ456, contains [description of note], insured for ₹X, shipped on [date]' creates a contemporaneous record of what was sent, when, and at what declared value. This WhatsApp message is admissible evidence under the Bharatiya Sakshya Adhiniyam 2023 §61.

Why the serial number photograph is the most critical element
Every other piece of evidence in a tampering or loss claim is strengthened by the serial number photograph. The serial number is unique to the specific note. A photograph showing a note with serial number '2A 123456' was in a specific parcel, and a buyer who received a parcel with no note or a different note — that is the evidence of what was taken. Without the serial number photograph, you can establish that a note was sent but not that the specific rare note — the one with ₹8,000 collector value — was the note that was lost.
