What should a collector document during any auction to protect against fraud — the complete evidence protocol?

The Simple Truth

The complete auction evidence protocol converts the natural digital trail that every online auction creates into a systematic, court-admissible record. Most collectors screenshot the winner announcement and the UPI payment — and stop there. The complete protocol goes further: before the auction (to establish what was represented), during the auction (to establish what you bid and when), and after receipt (to establish what was delivered and whether it matched what was sold). The serial number comparison between the listing photograph and the received note is the single most powerful evidence element.

Before the auction — the representation record

Before placing any bid, screenshot: the complete post or listing with all photographs; the seller's profile showing their name, username, and any verified badges; the stated auction terms (SB, increment, end time, payment terms, shipping terms); and the date and platform URL visible in the screenshot. For a Facebook Live auction: note the start time and record or download the session if possible. This pre-auction record establishes exactly what was represented to you before you bid.

During the auction — the bidding record

Screenshot each bid you place, with the timestamp visible. Screenshot the seller's acknowledgement of your bid ('Lot 3: [your name] at ₹5,000 noted'). If bidding is competitive, screenshot the running bid sequence — this establishes the progression and prevents post-auction disputes about what bids were placed and at what time. Note any unusual bid patterns: bids that appear and disappear (retracted bids); bids at identical amounts from multiple accounts simultaneously (potential shill bidding); bids from accounts with no profile history (potential fake accounts).

At the winner announcement — the contract record

Screenshot the winner announcement within seconds of it being posted — before the seller can edit or delete it. The announcement should show: your name or username; the amount; the timestamp; and the platform/account from which it was posted. For a Facebook Live auction: capture the exact moment of the 'sold' announcement. For a WhatsApp group: screenshot the 'sold to [name] at ₹X' message. For a static post auction: screenshot the winner comment with the timestamp. This screenshot is the contract formation record — the equivalent of the signed sale deed.

Payment — the financial record

Screenshot the UPI payment confirmation immediately after sending, showing: the recipient's UPI ID; the amount; the timestamp; and the UTR (Unique Transaction Reference) number. Download your bank statement entry showing the debit within 24 hours. The UTR is the trace that links your payment to the recipient's bank account — it is the primary evidence in any FIR or cybercrime complaint if the seller disappears.

Post-receipt — the delivery record

Record a brief video of the outer packaging before opening — showing the sealed parcel as received, with any visible damage or tampering. This establishes the condition on arrival. Open the parcel on video. Photograph both sides of the received note with the serial number clearly visible. Immediately compare the serial number on the received note with the serial number visible in the listing photograph. If they match: confirmation of the correct item. If they do not: you have documented proof of a substitution.

Send a WhatsApp message to the seller: 'Received [lot description], serial number [X], condition [Y].' If everything is correct, this is a confirmation. If something is wrong, this is the opening of your dispute — documented, timestamped, and in the seller's hands.

Complete auction evidence protocol — in sequence

PRE-AUCTION: Screenshot full listing (photos + description + terms) + seller's profile + date/URL

DURING: Screenshot each of your bids with timestamp + seller's acknowledgement of your bid

AT WINNER ANNOUNCEMENT: Screenshot immediately — name + amount + timestamp

PAYMENT: Screenshot UPI confirmation with UTR + download bank statement entry within 24 hours

ON RECEIPT: Video of outer packaging before opening + photographs of both sides of note received

SERIAL NUMBER CHECK: Compare received note serial number vs listing photograph — definitive proof if they differ

CONFIRMATION MESSAGE: WhatsApp to seller confirming receipt and serial number

ARCHIVE: Named folder (Auction [date] [platform] [lot]) — retain minimum 3 years

Laws & authorities referenced in this chapter

Consumer Protection Act 2019 — 2-year limitation period for consumer complaints (retain evidence minimum 3 years)

Bharatiya Sakshya Adhiniyam 2023 — §61 (all screenshots, videos, UPI records: admissible electronic records)

BNS 2023 — §318 (serial number mismatch between listing photograph and received note = proof of substitution fraud)

BNSS 2023 — §173 (UTR from UPI payment: primary evidence in FIR for non-delivery or fraud)

Key Takeaway

Complete auction evidence protocol: 8 stages from pre-auction through archiving. Most critical single action: serial number comparison between listing photograph and received note — proves substitution definitively. UTR from UPI payment is the trace for police/cybercrime complaints. Video of outer packaging before opening establishes condition on arrival. WhatsApp confirmation message creates documented receipt acknowledgement. Archive in named folder per transaction; retain 3 years (CPA 2019 complaint limitation period is 2 years).
